Automatic Detentions

Detention management can be time-consuming. OpenRoad TMS provides automatic detention tracking and notifications to simplify the process.


How It Works

Automated Detention Status Checks:

The system reviews each load and identifies detentions as upcoming, ongoing, or completed.

Email Notifications

Automatic emails keep fleet managers, accounting, and customers informed:

  • 30 minutes before detention – advance notice to prepare.

  • At detention start – confirms detention has begun.

  • Short detention (≤30 min) – triggered if detention is brief.

  • At detention end – final summary.

? Notification timing can be customized in Automatic Detentions settings.

All notifications are logged in the load page → Logs section.

Load Status Updates

After a detained load is delivered, status is automatically updated to Delivered–Pending. This update is also recorded in Logs.

Time Calculation Rules

  • Based on set/open appointment times.

  • Tolerance limit: If a driver is ≤10 minutes late, detention is still logged, but the email shows start time as [Time In] – 10 minutes.


Tracking Detentions

  • All Loads page – Columns: Detention, Detention Duration, Paid Detention Amount.

  • Customer Profile → Overview tab – Detentions by customer.


Managing Settings

In Automatic Detentions settings, you can:

  • Enable/disable detention notifications.

  • Select which notifications to send.

  • Adjust lead time for upcoming detention alerts.

  • Set detention start delay.

Automatic detentions require integration with Samsara.
