The Comdata integration connects OpenRoad TMS to your Comdata account. Once it is active, the fuel purchases your drivers make with their Comdata cards are imported into OpenRoad automatically, with no files to upload. They appear on the Fuel Transactions page and in your drivers’ weekly statements.
How It Works
- OpenRoad checks Comdata for new transactions automatically every 2 hours.
- Each transaction is linked to a driver through the Comdata card used, so each card must be registered in OpenRoad and assigned to its driver.
What You Need to Send Us
- Your Comdata web services username and password. Request them from your Comdata representative. OpenRoad connects to Comdata Web Services 2.1 (FleetCreditWS), so ask for credentials for that service. The username is usually a long number.
- The list of your drivers’ Comdata cards, if you want help registering them (see Part 2).
Important: Treat your Comdata password like any other password. Send it only to OpenRoad Support, and never post it in chat messages or tickets that other people can see.
Part 1: We Activate the Integration
Once we receive your credentials, our team enters them in Settings v2 → Integrations → Comdata, tests the connection and activates the integration. We confirm by email when it is active.

Note: When the integration is activated, OpenRoad checks the connection first. If Comdata rejects the credentials, the integration stays off and we will ask you to confirm them with Comdata.
Part 2: Register Your Drivers’ Comdata Cards
Each driver’s Comdata card must be added to OpenRoad and assigned to that driver. Without this step, transactions are imported but not linked to a driver.
- From the left menu, go to Fuel → Fuel Cards and click New Fuel Card.
- FC #: the card number exactly as it appears on your Comdata transactions.
- Card type: Comdata.
- Status: Active.
- Click Save.
- Click Assign Fuel Card, select the card, the driver and the start date, and click Save. Leave the end date empty while the driver still uses the card.
- Repeat for each driver who has a Comdata card.
Important: The card number in OpenRoad must match the one on the Comdata transaction exactly. A missing or mistyped digit means the transaction arrives without a driver.
Part 3: Review Your Transactions
- Go to Fuel → Fuel Transactions.
- Select the date range and, in the Card filter, select Comdata.
- Click Search and check that each transaction shows a driver.
Frequently Asked Questions
Do I still need to upload fuel files for Comdata?
No. Once the integration is active, transactions are imported automatically.
Some transactions do not show a driver. Why?
The card on the transaction is not registered in OpenRoad with the exact same number, or it is not assigned to a driver for the date of the transaction. Check the card on the Fuel Cards page.
I changed my Comdata password. What do I do?
Send the new password to OpenRoad Support right away so we can update it. Comdata keeps recent transactions available for automatic import for a short time only.
I assigned the card to the driver in Comdata. Do I also need to do it in OpenRoad?
Yes. OpenRoad links transactions to drivers using the card assignments in Fuel → Fuel Cards.
