How to Connect Multiple Motive Accounts to One OpenRoad Account

Modified on Wed, 28 Oct at 6:33 PM

Before You Begin

  1. Sign in with a user that has the Super Admin role. Only Super Admin users can open the Telematics page and the Driving As page in Settings.
  2. Have the API key of the additional Motive account ready. Your Motive administrator can create it inside that Motive account.
  3. Make sure Sync is turned on for Motive in the Provider settings section of Settings > Integrations > Telematics.
  4. Make sure the drivers, trucks and trailers of the additional company already exist in OpenRoad, with VINs, unit numbers, trailer numbers and driver numbers that match Motive.

Your current Motive API key is already set up as the connection for your default Driving As company. It keeps working and you do not need to change anything.

Step 1: Create the Driving As Company

  1. Go to Settings > Account > Driving As.
  2. Add a new Driving As value with the name of the additional company.
  3. If your account has MC numbers listed on this page, select the MC number for this company. It is required once MC numbers exist on the account.
  4. Save. The new company appears in the Driving As list.

Step 2: Add the Motive Connection

  1. Go to Settings > Integrations > Telematics.
  2. Click Add connection.
  3. If your account uses both Motive and Samsara, select Motive as the provider.
  4. Select the Driving As company you created in Step 1.
  5. Paste the Motive API key and click Save.
  6. OpenRoad checks the key with Motive before saving. If Motive accepts it, you will see a confirmation such as "Connected to Motive: [Company Name]". If Motive refuses it, you will see an error and nothing is saved.

Once a key is saved, OpenRoad never shows it again, for security reasons. To replace a key, edit the connection and paste the new one. If you leave the key field blank when editing, the current key stays in place.

Step 3: Assign Drivers, Trucks and Trailers to the New Company

  1. Open each driver, truck and trailer that belongs to the additional company.
  2. In the Driving As field, select the new company.
  3. Save the record.

The Driving As field shows once your account has two or more Driving As values. From then on, Driving As is required when you create a driver, truck, trailer or load. When you edit an older record that has no value, the field opens blank so you can choose the right company.

If you move a truck to another company while its current driver is still under a different company, OpenRoad shows a warning with a button to move the driver as well.

If you have many records to move, send our support team a list of the driver numbers, truck unit numbers and trailer numbers for the additional company, and we can assign them in bulk for you.

Step 4: Confirm the Connection Is Working

Go back to Settings > Integrations > Telematics. Each connection shows its Driving As company, provider, Motive account name, number of tracked vehicles and one of these statuses:

  1. Active: vehicles are being tracked.
  2. Mapping vehicles: no sync has run yet. This normally changes within minutes.
  3. Nothing assigned yet: no drivers, trucks or trailers use this Driving As company yet. Complete Step 3.
  4. No vehicles: a sync ran, but no vehicles matched. Check that the truck unit numbers and VINs in OpenRoad match Motive.
  5. API key refused: Motive did not accept the key. Edit the connection and paste a valid key.
  6. Needs attention: the sync returned an error, or the newest position is more than 24 hours old.
  7. Sync off: syncing is turned off for Motive in Provider settings.

Below the table, a warning lists any company whose records are not tracked, for example "Not tracked by Motive: [Company Name] (12 trucks, 4 trailers)".

Matching starts as soon as you save a connection or change a record's Driving As value. After that, it runs automatically twice a day. GPS positions are pulled about every 10 minutes and hours of service about every 3 minutes.

How OpenRoad Matches Your Motive Records

  1. Trucks are matched by VIN first, then by unit number.
  2. Trailers are matched by VIN first, then by trailer number.
  3. Drivers are matched by driver number first, then by email, then by first and last name.

To get the best results, keep these details the same in OpenRoad and in each Motive account.

Good to Know

  1. Each Driving As company can have one Motive connection. The same API key or the same Motive company cannot be used on two connections.
  2. Any driver, truck or trailer without a Driving As value belongs to your default company and is tracked through your original Motive connection.
  3. The connection of your default company cannot be removed. To stop it from syncing, turn Sync off in the Provider settings section. Additional connections can be removed from the menu on their row.
  4. Removing the connection of an additional company stops tracking for all of that company's drivers, trucks and trailers until a new connection is added.
  5. The Telematics page replaces the previous Motive settings page and also manages Samsara connections. A company can have one Motive connection and one Samsara connection.
  6. This feature only affects tracking data. It does not change billing, payroll or which users can see which records.

Frequently Asked Questions

Q: Do I need to do anything with my current Motive API key?

A: No. Your current key was moved automatically to the connection of your default company and keeps working without changes.

Q: A truck moved from one of our companies to another. What do I need to do?

A: Change the Driving As value on the truck profile and save. OpenRoad then tracks it through the Motive account of the new company.

Q: The new connection says No vehicles. What should I check?

A: Make sure the VINs and truck unit numbers in OpenRoad match the Motive account, and that the trucks are assigned to the correct Driving As company.

Q: Will drivers still receive messages from OpenRoad?

A: Yes. Messages are sent through the Motive account of the driver's company, so each driver receives them on their own Motive device.
