Driver's profile

All of the drivers can be found in the Drivers section. Since each driver has his unique number (which is assigned during the registration of a driver), a simple and quick click on it will take you to the driver’s profile.



After opening a driver's profile, you will see this display. It includes the driver's number, full name, phone number, HOS status, driver's type and team, and information about fleet and safety managers.



At the top of the driver's profile, you will also be able to see a wide selection of sections you can explore.



1. Overview


The overview section provides you with detailed personal information, such as an address, social security number, email, date of birth, and more. You can also find information about emergency contact, fuel card, job info, rehired dates, and more.

Make sure to pay attention to the compliance section. It allows you to see (and edit if needed) details about a driver's CDL (Commercial driver's license), such as number, state, expiration date, and more. There's also information displayed about occupational and workers' compensation insurance.

The driver assignments section is directly linked to the Driver Assignments page under the Operations tab. You can see and edit the history of the equipment assigned to the driver.

To edit any of the fields, click on this icon:


Note: Please ensure that you provide a correct phone number, as this will be used for sending driver verification codes to log in to the OpenRoad Driver mobile app. In case the driver is not getting a verification code via text message, the code can be seen in the OpenRoad driver app verification code section at the bottom of the personal information tab:


The code is not constant and changes every time the driver attempts to log in to the app. To view the updated code, please refresh the driver's profile page.



2. Files


The files section allows you to explore the driver's files all in one place, such as applications, drug test results, medical card, and more. You can view the files by opening them or add a new one using the Upload files button.


This section ensures that you always have the most up-to-date information about the driver at your fingertips.



3. Accounting




The accounting section displays information about driver's compensation, payment info, taxes, deductions, and adjustments.

There are two sections for deductions and adjustments: Recurring Deductions and Adjustments and One-time Deductions and Adjustments.

Recurring Deductions and Adjustments are deductions or adjustments that occur regularly, such as weekly or monthly. These deductions or adjustments are taken out of the driver's pay regularly, and the amount deducted or adjusted is consistent each time. Examples of recurring deductions or adjustments might include health insurance premiums, union dues, or uniform costs.


One-time Deductions and Adjustments, on the other hand, are deductions or adjustments that occur only once or on an irregular basis. These deductions or adjustments might include a one-time tax adjustment, a deduction for a specific event or charge, or a bonus payment. One-time deductions or adjustments can be added to the driver's profile as needed, and they are typically only taken out of the driver's pay once.


Both Recurring and One-time Deductions and Adjustments are important to keep track of in the driver's profile, as they can impact the driver's overall pay and earnings. By having a clear and organized record of these deductions and adjustments in the TMS system, drivers and employers can ensure that pay is accurate and fair.


To add a deduction or adjustment, simply click on the Add button and fill out a form.



Also, keep in mind, that if the compensation details in the accounting section are left empty, the driver's payroll won't be calculated.



The payroll schedule and compensation type need to be be configured using your account settings. Click on your user, select Settings and Account. You will see the settings for payroll schedules and compensation. To find more information, visit the article for account settings.





4. Loads


The loads section displays information about all the driver's loads, their numbers, statuses, and more.


You can also customize the information you see by using date filters. The Custom button allows you to select All, Today, This Week, This Month, This Quarter, This Year, Yesterday, Last Week, Last Month, Last Quarter, and Last Year time ranges. If those options do not suit you, click on the date next to the calendar icon and set it according to your needs.





5. Statements


The statements page displays information about all driver's earning statements.

The colors of Empty, Gross, and Adjustments amounts are marked in either yellow, green, or red. If the fields in the Empty column are marked in yellow, it indicates that the percentage of empty miles for that week is over 15%. If the fields are marked in red, it means that the percentage of empty miles is over 20%. The Adjustments will always be marked in red, since it stands for deducted amounts.

To download more than one statement at a time, select the payroll weeks and click the button between Statements and Regenerate:

Example of owner-operator's statement



The main difference between company and owner-operator driver statements is that company drivers receive a regular salary or wage, while owner-operators are paid based on a percentage of the revenue they generate, minus expenses.



The lock icon means that the payroll can or can not be edited – if the lock icon is locked, no accessorial events could be added. We recommend locking the statement after the salary has been paid.



You can also customize the information you see by using date filters. The custom button allows you to select All, Today, This Week, This Month, This Quarter, This Year, Yesterday, Last Week, Last Month, Last Quarter, and Last Year time ranges. If those options do not suit you, click on the date next to the calendar icon and set it according to your needs.


In case the statement is missing for any of the payroll weeks, you can regenerate it by clicking on the Regenerate button and choosing the week of statement that needs to be regenerated:




6. Stats


The stats page displays information about driver's performance statistics. The information in this tab is directly linked to the Payroll page. Therefore, you can see statistics of how much the driver has earned this week, last week, last 4 weeks, last 8 weeks, and more. You can also see statistics about the off-duty summary and charts of gross profit & expenses, operational stats, and the last 52 weeks.

7. Tolls


The tolls section displays information on all the tolls paid by a driver during his trips. 

You can see the transaction dates, types, amounts, transponder's ID, truck, location, and more.

You can also customize the information you see by using date filters. The Custom button allows you to select All, Today, This Week, This Month, This Quarter, This Year, Yesterday, Last Week, Last Month, Last Quarter, and Last Year time ranges. If those options do not suit you, click on the date next to the calendar icon and set it according to your needs.





8. Fuel


The fuel section within the driver's profile provides you with an overview of the driver's fuel consumption data. This section is important for tracking expenses, improving fuel efficiency, and reducing overall costs.

You can add new fuel card transaction by clicking on the Add button:

Then you will be asked to provide a bit more information about the transaction.



While providing information on a new fuel card transaction, make sure to fill out all the mandatory fields that are marked with a * symbol, since the system will not allow you to continue if those fields are left empty.

The Custom button allows you to select All, Today, This Week, This Month, This Quarter, This Year, Yesterday, Last Week, Last Month, Last Quarter, and Last Year time ranges. If those options do not suit you, click on the date next to the calendar icon and set it according to your needs.





9. Mileage

The Mileage section contains important information about the miles driven by the state.


You can also customize the information you see by using date filters. The Custom button allows you to select All, Today, This Week, This Month, This Quarter, This Year, Yesterday, Last Week, Last Month, Last Quarter, and Last Year time ranges. If those options do not suit you, click on the date next to the calendar icon and set it according to your needs.


10. Accidents

The accidents section provides you with an efficient way to track driver’s accidents. By maintaining a record of all driver’s accidents, you can better understand your fleet’s safety performance and identify areas for improvement.

You can see the claim status, date, ID, information about the truck and trailer, and more.

The Custom button allows you to select All, Today, This Week, This Month, This Quarter, This Year, Yesterday, Last Week, Last Month, Last Quarter, and Last Year time ranges. If those options do not suit you, click on the date next to the calendar icon and set it according to your needs.




11. HOS


The HOS (Hours of Service) section provides you with an easy way to manage drivers' compliance with the hours of service regulations set by the FMCSA (Federal Motor Carrier Safety Administration).

The HOS section tracks drivers' on-duty and driving time to ensure they are staying within the legal limits. You can view real-time information about the driver's HOS status.

The statuses are divided into four categories: break, drive, shift, and cycle. This information is taken from IoT Service Provider, which, in this example, is Samsara.





You can also customize the information you see by using date filters. The Custom button allows you to select All, Today, This Week, This Month, This Quarter, This Year, Yesterday, Last Week, Last Month, Last Quarter, and Last Year time ranges. If those options do not suit you, click on the date next to the calendar icon and set it according to your needs.




12. Change Logs


The change logs section provides you with a record of all changes made within the driver’s profile. This helps you to keep track of all updates made within the system.


You can also customize the information you see by using date filters. The Custom button allows you to select All, Today, This Week, This Month, This Quarter, This Year, Yesterday, Last Week, Last Month, Last Quarter, and Last Year time ranges. If those options do not suit you, click on the date next to the calendar icon and set it according to your needs.




13. Uploads


This section allows you to explore the files that have been uploaded by the driver who’s using OpenRoad driver mobile app. The uploads usually are PODs.
